Privacy Policy
Agentic Hawaii LLC
Effective Date: 06 April 2026
Agentic Hawaii LLC (“Agentic,” “we,” “our,” or “us”) recognizes that privacy is not merely a legal matter, but a matter of trust.
We are entrusted with information relating to residences, ownership preferences, service history, access logistics, and other details that require careful handling. Our standard is one of discretion, restraint, and respect.
This Privacy Policy explains how Agentic collects, uses, safeguards, and, where necessary, discloses information in connection with our residential asset stewardship and coordination services.
Our privacy practices are guided by the same principles that shape our work overall: quiet discipline, documented care, limited sharing, and long-term alignment with ownership.
Scope of this policy
This Privacy Policy applies to information collected or received through our website, written or verbal communications, client inquiries, onboarding materials, service agreements, property visits, reports, vendor coordination, and other interactions connected to Agentic’s services.
Information we may collect
We collect only the information reasonably necessary to provide our services, maintain continuity, support documentation, and operate our business responsibly.
This may include contact information such as your name, mailing address, email address, telephone number, preferred communication details, and contact information for assistants, household representatives, or other authorized persons.
It may also include residence and property information such as property address, access instructions, systems and appliance details, vendor information, maintenance history, visit logs, checklists, reports, and other service-related records.
We may retain communications and relationship records, including emails, messages, calls, intake materials, onboarding forms, signed agreements, service requests, approvals, and internal notes created to support continuity and coordination.
We may also collect billing information such as billing name, billing address, invoice records, payment status, and transaction-related details. Agentic does not store full payment card information except as may be processed through an authorized third-party payment provider.
If you visit our website, we may collect limited technical information such as IP address, browser type, device type, pages viewed, referral source, and basic usage data collected through cookies or analytics tools.
How we use information
We use information only as reasonably appropriate in connection with the services we provide and the obligations we undertake.
This may include using information to provide and administer services, communicate with clients and authorized representatives, coordinate vendors and building personnel, document residence condition and service history, maintain continuity across visits and service intervals, prepare reports and records, issue invoices, maintain financial records, support safety and risk awareness, comply with legal or contractual obligations, and protect the rights, security, and interests of our clients and firm.
We do not sell client information, and we do not use client information in a manner inconsistent with the level of discretion our relationships require.
Our standard of discretion
Agentic is built on the understanding that certain information should be handled carefully, shared narrowly, and retained thoughtfully.
We therefore seek to collect information selectively rather than excessively, limit internal access to those with a legitimate need to know, use secure systems and handling practices where appropriate, avoid unnecessary circulation of residence- or client-related details, and maintain records in a manner intended to support continuity, accountability, and long-term stewardship.
How information may be shared
We do not sell or casually disclose personal information. Information may be shared only in limited circumstances.
We may share information with select service providers and professional advisors who assist in the operation of our business, including secure document storage providers, payment processors, IT and cybersecurity vendors, legal advisors, accountants, insurers, and related professional support providers.
Where reasonably necessary to carry out authorized services, we may share relevant information with contractors, trades, building management, security personnel, technicians, inspectors, and other residence-related parties involved in the scope of work. Any such sharing is limited to what is reasonably necessary for coordination, access, scheduling, verification, or service completion.
At a client’s direction, or where consistent with the structure of the relationship, we may also share relevant information with family office personnel, attorneys, accountants, trustees, personal assistants, household staff, or other authorized representatives.
We may disclose information where required or reasonably appropriate to comply with applicable law, regulation, subpoena, court order, insurance requirements, or to protect the safety, rights, or property of clients, vendors, or Agentic.
Data security
We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, misuse, loss, alteration, or disclosure.
These safeguards may include secure platforms, access controls, password management practices, careful vendor selection, and internal handling procedures aligned with the nature of the information involved.
No system or method of transmission can be guaranteed to be entirely secure. While we take data protection seriously, absolute security cannot be assured.
Record retention
Agentic may retain communications, agreements, visit records, reports, invoices, and related materials for as long as reasonably necessary to provide services, support continuity and documented care, maintain legal, insurance, accounting, and operational records, and protect the legitimate interests of the client and the firm.
Retention periods may vary depending on the nature of the record, the duration of the engagement, and applicable legal or business requirements.
Cookies and website analytics
Our website may use cookies, analytics tools, or similar technologies to support functionality, understand website performance, and improve the visitor experience.
These tools generally collect limited technical or usage information and are not intended to capture sensitive residence or client records through the website itself.
You may adjust your browser settings to refuse or limit cookies, though doing so may affect certain website functions.
Third-party platforms
In the course of our operations, we may rely on third-party platforms for communications, payments, document storage, scheduling, or other business functions. We may also reference or link to third-party websites.
Agentic is not responsible for the privacy practices of third-party providers outside our direct control. We encourage review of those providers’ own privacy terms where relevant.
Your requests and choices
Subject to applicable law, you may request access to certain personal information we maintain about you, request correction of inaccurate or outdated information, request deletion of certain information where appropriate, request limitation of certain uses where legally required, or opt out of non-essential communications.
Please note that we may retain certain records where reasonably necessary for legal, contractual, insurance, accounting, security, or operational purposes.
Children’s privacy
Agentic’s services are not directed to children. We do not knowingly collect personal information from children through our website or ordinary business activities, except where such information is incidentally provided by a parent, guardian, or authorized adult in connection with a service relationship.
Jurisdiction and applicable law
Agentic operates in Hawaii and within the United States. We intend to handle information in a manner consistent with applicable privacy, business, and recordkeeping obligations relevant to our operations.
Where specific legal rights apply under applicable law, we will respond to qualifying requests accordingly.
Changes to this policy
We may revise this Privacy Policy from time to time to reflect changes in our services, operating practices, systems, or legal obligations. Any updated version will be posted or provided with a revised effective date.
